Temporary Executive Assistant
Reports To: Chief Operating Officer
Classification: Temporary
Schedule: 8:30 a.m.-5:30 p.m.

Position Summary
The Temporary Operations Executive Assistant provides high-level administrative support to the Chief Operating Officer, managing calendars, meetings, email inboxes, travel, correspondence, and expense reporting. This role also supports the Operations team, assists with cross-departmental coordination, and collaborates with the Chief of Staff to maintain alignment across administrative functions.

Key Responsibilities

  • Manage calendars, schedule meetings, coordinate travel, prepare meeting materials, and maintain contact databases.
  • Handle phone calls, email, correspondence, visitor support, and monthly expense reconciliation.
  • Conduct research and prepare materials for executive use.
  • Support Operations team projects, including committee meeting preparation, inventory tasks, and special initiatives.
  • Provide backup support to the broader administrative team as needed.

Qualifications

  • 4+ years of administrative experience, or 2+ years supporting VP/C-Suite executives.
  • Proficient in Microsoft Word, Excel, Outlook, and PowerPoint.
  • Strong written and verbal communication skills.
  • Excellent organization, time management, and multitasking abilities.
  • Ability to handle confidential information with discretion.
  • Experience managing and maintaining the appointment calendar by planning and scheduling in-person
    and virtual meetings, conference calls and all aspects of travel.
  • Ability to work independently and solve problems with minimal supervision.
  • Typing speed of 60+ WPM.
  • Experience with Salesforce or similar contact management systems preferred.
